CLIP-IT Email Orders

CLIP-IT Email Orders helps the CLIP-IT and Rack-It-Up team collect incoming customer orders from selected Google inboxes and prepare them for checking in the CLIP-IT app.

It runs on the business's Windows computer. Authorised staff use the local app to compare a proposed order with its original email or purchase-order PDF before approving it. The current app is for the team's internal use.

How it works

Each selected account connects through Google's consent screen. The app requests read-only Gmail access to identify incoming orders and read their email text and supported PDF attachments. It cannot send or delete emails, change labels, or mark messages as read.

Automatic collection runs while the host app is running and collection is enabled. It begins with messages received after collection is first enabled. Filters check message information locally, and duplicate checks compare saved sources and orders. Copies may link to an existing order; possible changes and uncertain matches stay queued for checking.

AI reading is an explicit setting. When enabled, the app sends a selected likely order's email text, sender, subject and supported purchase-order PDFs to OpenAI using the app's API account. This helps extract customer, delivery and product details. It uses API credit and is limited by a daily reading cap. Email text may include signatures and quoted history, and a submitted PDF is processed as a document.

Complete new drafts enter Needs review. AI can make mistakes, so staff must check the original before approval. Email intake does not automatically approve orders, print labels, arrange delivery or send messages.

Your information and controls

Saved sources, proposed details and drafts remain in the host app's local data. CLIP-IT backups include saved email evidence and PDFs. Google connection credentials are encrypted for the Windows account and excluded from portable backups.

The operator can pause collection and turn off AI reading in Orders → Email orders → Email setup. An account owner can also revoke CLIP-IT's access in their Google Account. Revoking access or ignoring a queued email does not remove evidence already saved in the app or its backups.
